Administrative Associate

Global Rights for Women (GRW) is a Minneapolis, Minnesota-based international nonprofit. Founded in 2014, our mission is to work with leaders in Minnesota and around the world to advance women and girls’ human right to live free from violence through legal reform and institutional and social change. 

The Administrative Associate will provide a broad range of administrative and support services to staff. Regular duties include office administrative services, development and program support, operations management, donation processing and tracking, IT support, and event and volunteer support. 

The Administrative Associate role will consist of the following activities: 

Administration- 45% 

Support all Global Rights for Women staff by performing routine clerical tasks such as scanning, formatting and editing documents, scheduling meetings, creating meeting agendas and meeting minutes 

Respond to general inquiries received through the GRW email account and main phone line in a timely and efficient manner. Including but not limited to: contact requests, intern and volunteer applications, phone calls and voicemails 

Prepare and assist with planning logistics for local and international trainings, workshops, conferences and presentations including travel arrangements, organizing materials, and communicating and coordinating with involved volunteers, partners, and trainers 

Prepare and organize necessary documents for GRW staff and board meetings 

Assist with technology needs of GRW and troubleshoot shared drive, computer, printer and other staff technology issues 

Manage registrations and payments for GRW’s website domain, server, email accounts and subscriptions Facilitate account set up, equipment procurement and onboarding for new employees 

Ensure organization’s online files are consistently backed-up and organized 

Assist Finance Manager with regular reconciliation of donations, annual audit, billing, and deposits
Manage the inventory and procurement of GRW office supplies 

Provide technical and administrative support for program meetings, webinars and trainings

Development and Communications- 45% 

Manage donor and donation database with the Raiser’s Edge fundraising and relationship management system, manage gift entry, event gift tracking, gift acknowledgement process and reporting 

Manage Constant Contact list serves and email signup 

Assist in planning annual fundraiser, involving sponsorship management and tracking, creation and sending of large email and virtual mailings, volunteer coordination, and guest management both post-event and day-of

Assist in small event planning and implementation as needed 

Support Communications Manager in scheduling GRW social media content 

Manage the onboarding logistics and time-keeping of interns and volunteers 

Board of Directors- 10% 

Provide Board of Directors support services including maintaining Board Member and subcommittee rosters, preparing meeting minutes and other materials for meetings, and assisting with new board member orientation 

Manage board resolutions, minutes and other corporate documents associated with the Board of Directors in the shared drive 

Act as point person for Board of Directors involving scheduling and logistics

Assist in the preparation for and attend quarterly meetings and special sessions

Preferred Qualifications and Skills: 

Ideal candidates will have experience in international and/or gender studies, human rights, pre-law, nonprofit management, related fields or commensurable work experience (unpaid work experience will be considered equivalent to paid work experience) 

Communication Skills: Exceptional writing skills and the ability to communicate clearly internally with staff and externally with stakeholders; including the ability to work cross-culturally, experience in diverse and international audiences preferred 

Technological Skills: Ideal candidates will have strong skills relating to mac operating systems, WordPress, Google Drive and Suite, Microsoft Office, Social Media platforms, as well as general IT troubleshooting skills. Candidates with experience in Blackbaud’s Raiser’s Edge data management system an advantage, experienced with video conference software
